Village Support Tasks

The tasks in this section are made up of volunteers who support village operations and tasks to help the village in many different ways. Village support tasks are not services provided to individual members (service requests). On-going tasks are made up of committees or teams. While committees and team may have multiple volunteers involved each should have two co-coordinators to insure that one coordinator is always in place when the other co-coordinator is on vacation, is ill, or has resigned. Having co-coordinators protects knowledge about team tasks while a new co-coordinator is selected and trained to fill an opening. Calendar Team

This team is made up of co-coordinators and committee members as needed. This team is responsible for the following: Receive village event information from Steering Council * Programs Team, Marketing & Outreach team, and VillagesNW * update and maintain the Rivers East Village calendar in Helpful Village * Provide task-specific training to team members

Circle of Representatives

In each village, the Governing Council appoints two villagers to represent their village in a Villages NW network-wide group called the Circle of Representatives (COR).  The COR includes representatives from the Village NW Board and is the forum where Villages and the Villages NW Board, come together with the goal of open discussion, collaboration, and sharing ideas in support of a shared mission.

Community Resource Team

The community resource team is made up of co-coordinators and committee members. The purpose of this team is to coordinate resources for member use. This team is responsible for the following:

  • Provide task-specific training to committee members and direct service volunteers.
  • Assist direct service volunteers to locate resources needed by members.
  • Develop, vet, and maintain a list of community resources for use by village members and direct service volunteers on REV's website. The community resource team is made up of co-coordinators who are responsible for identifying and maintaining a list of community resources on REV's website

Finance & Budget Committee

This team consists of co-coordinators. The finance and budget team is responsible for the following:

  • Read and adhere to VillagesNW financial policies and procedures
  • Update Rivers East Village finance and budget procedures as needed
  • Process village deposits
  • Process reimbursement requests 
  • Provide monthly financial reports to the REV governing council
  • Prepare an annual  budget for approval by the governing council
  • Attend VNW Finance Affinity Meetings   
  • Maintain financial documents

Fundraising Committee

The fundraising team is made up of co-coordinators and team members as needed. Fundraising events and grant proposals help keep membership dues as low as possible and offer member scholarships to people with low incomes. This  system is responsible for the following:

  • Attend periodic VillagesNW Fundraising Affinity Meetings
  • Identify and research fundraising and grant opportunities
  • Gain governing council and VillagesNW approval to launch fundraising projects
  • Coordinate fundraising events and grant proposals with REV events and workshops team 

Governing Council

Governing Council members are elected for a two-year term by village members. The Governing Council is responsible for the direction and guidance of village operations of the Village and may delegate the responsibility of day-to-day operations to volunteers, staff, and committees. The Governing Council shall have up to 12 maximum members, but no fewer than 5 members. In addition, one individual chosen by the Villages NW Board of Directors, at its sole discretion, shall serve as the liaison for the Village and a voting member of the Governing Council. The Council shall receive no compensation other than reasonable expenses.

Marketing & Outreach Team

This team is made up of co-coordinators and team members as needed. The purpose of this team is to develop consistent REV messaging, make presentations to public and private organizations, and coordinate with other village teams as needed. This team is responsible for the following:

  • Social media updates: Facebook, Nextdoor, Thelma's List
  • Coordinate local advertising and newspaper articles 
  • Materials Design - printed and electronic outreach materials
  • Attend VillagesNW Marketing Affinity Meetings
  • Schedule and conduct Village community presentations
  • Identify opportunities to deliver REV Marketing messages to target audiences
  • Booths & Tabling - coordination, setup, and staffing

Membership Team 

This team is made up of co-coordinators and team members as needed. Membership team tasks include the following:

  • Respond to membership inquiries, enrollments, and renewals
  • Develop member surveys to identify needed program improvements
  • New Member Buddy: support and encourage new members as a new member buddy
  • Coordinators attend Membership Affinity Meetings

Neighborhood Activities Team 

The purpose of this team is to connect members and volunteers who live in the same neighborhood to be engaged with each other. Coordinators are responsible for the following:

  • Identify villagers living in your neighborhood 
  • Welcome new members and volunteers to your neighborhood
  • Plan and coordinate small social activities

Newsletter Team

REV's newsletter is produced monthly and delivered to village members, volunteers, and others in the community interested in following our work. The newsletter is delivered by email with a few printed and mailed to villagers that do not use email. 

  • Edit and produce a monthly newsletter using MailChimp and online email distribution service
  • Print and mail newsletters to villagers that do not use email

Occasional Village Support

This team helps with short-term projects such as special gift deliveries, tabling at events, creating decorations, and greeting guests at events. event setup and take down, and more. Mail projects

Office Staff Team

Made up of co-coordinators and team members as needed. The purpose of the office staff team is to staff the virtual office during village office hours (Mon - Fri 10:00 - 2:00). Office staff volunteers need a reliable computer, internet, phone, and 4 hours per week. Team members work together to cover for each other while away from town or in other personal activities. The general office duties include: 

  • Monitor and respond to or forward phone and email messages recieved in REV's main Email address.
  • Accept and manage member Service Requests in Helpful Village

Proof Readers

Proofread written content for newsletters, marketing materials, website, newspaper articles, and more.

Recycling Team

This team is made up of co-coordinators and team members as needed. The purpose of this team is to coordinate recycling events where volunteers pick up materials and deliver them to recycling centers. There are four different events with each offering pickups twice a year. 

  • Styrofoam & Plastics 
  • Electronics 
  • Bottles and Cans for REV Fundraiser 

Soical Events & ProgramsTeam

This team is made up of co-coordinators and team members as needed. The purpose of the events and workshop team is to identify and manage and promote village social events and programs. This team is responsible for the following tasks: 

  • Plan, promote, and coordinate REV presentations, events, and community partner programs
  • Identify and acquire resources and venues needed to hold social events
  • Coordinate setup and staffing for village events
  • Add events and programs to the village event calendar
  • Provide task-specific training to team members
  • Plan, promote, and hold coffees, happy hours, walks, parties, and other social events 
  • Identify and reserve venues for events 

Sunshine Team

This committee brings a little sunshine to the lives of our villagers.

  • Sends greeting cards for special events
  • recognizes volunteer and member birthdays each month by submitting an article for the village newsletter
  • Makes calls to villagers who might need cheering due to illness, or loss of friends, family, and pets 
  • Encourages villager connections and participation in events 

Technology Team

This team is made up of co-coordinators and team members as needed. The purpose of this team is to provide support to Workspace, Google and Helpful Village account users and is responsible for the following:

  • Attend Helpful Village affinity meetings and webinars
  • Maintain Google Account services: Voice, Domain, Drive, Gmail, Docs
  • Provide training on Google Docs and files as needed
  • Manage and maintain Helpful Village website/database
  • Provide task-specific training to Helpful Village users and technology team members
  • Manage event emails (Happy Hours, Coffees, Etc.)
  • Format monthly newsletter in MailChimp
  • Setup and send invites for online meetings (GoToMeeting / Zoom)

Transportation Team

This team is made up of co-coordinators and team members as needed. The purpose of this team is to develop and support new volunteer drivers.

This team is responsible for the following:

  • Attend periodic transportation affinity meetings & report to Steering/Governing Council
  • Coordinate training and DMV checks 
  • Confirm driver auto insurance is in place and follow up on NSC and drivers license renewals
  • Arrange or conduct ride along with tests and vehicle inspections
  • Provide task-specific training to team members
  • Coordinate periodic meetings for drivers
  • Update and maintain driver information in Helpful Village and Google Drive

Volunteer Coordination Team

This team is made up of two co-coordinators and team members as needed. The purpose of this team is to recruit, enroll, train and support new village volunteers and other village and smaller volunteer teams such as: he other .This team is responsible for the following:  

  • Attend Volunteer Affinity Meetings
  • Volunteer recruitment
  • Follow up with prospective volunteers and add them to Helpful Village
  • Manage and document new volunteer enrollment  
    • Conduct Villager Orientation
    • Obtain signed volunteer and confidentiality agreements
    • Submit background check
    • Provide ID badge
  • Hold periodic volunteer meetings
  • Develop and update volunteer basic training 
  • Develop and conduct volunteer surveys to identify program improvements
  • Track volunteer hours
  • Provide task-specific training to team members
  • Support volunteers as needed
